Hosting the CORE
Thank
you for your interest in hosting the CORE. We are not currently looking
for new hosts, however if you submit an application it will be held for
future reference. The information below will fill you in on what you'll
be getting yourself into if you decide to host one of our events.
I'll be honest with you. Hosting the CORE is a lot of work. It is more than
an event; it is a ministry. The training day is a unique opportunity for youth
workers to share ideas, to pray together and to encourage one another. Our vision
is to minister to youth ministers, to unite youth workers from all denominations
and to equip these servants to reach the junior and senior high kids in their
neighborhoods. If you share this vision, we would love to partner with you in
this ministry.
If you decide to host, you will be under no financial obligation whatsoever.
We provide you with everything needed to facilitate the seminar day (I mean
everythingeven masking tape and pens!), and we reimburse any out-of-pocket
expenses for food (within our budget agreement) or miscellaneous items purchased
in preparation for the seminar.
You supply the facility and all the people-power that it takes to make the
training a success. Your biggest investment will be in time and in coordination.
If you agree to host the event, you will receive detailed instructions at least
a month before the event. So let's take a quick look at what this day entails.
As host, your responsibilities fall within 6 categories:
| 1. The Facility |
 |
We will need a room for some set up time, preferably the day before the seminar,
and from 8 a.m. to 2:30 p.m. (or 1 p.m. to 7:30 p.m. for Sunday seminars) the
day of the event. We'll need a room large enough to seat between 50-500 people
depending on the city, that can be completely darkened for video use, and that has
a lighting system that can be turned on and off quickly (halogen lights cannot
be used as they take several minutes to warm up). We will also need a large
screen for video projection and some miscellaneous audio visual equipment. Maintaining
a cool temperature in the room during the seminar is also a necessity.
| 2. Volunteer Recruitment |
 |
You will need 8-10 volunteers to run this event smoothly. Some will need to
help with preparation and set up, and all should plan to arrive the day of the
seminar at 7:45 a.m. (1 p.m. for Sunday training). All CORE volunteers attend the training
day free of charge.
| 3. At The Door Registration |
 |
This takes 2 to 3 volunteers to process. We send out e-mail confirmations, so
most everyone will be easily taken care of. Most of the participants pre-registered
through our El Cajon office. All pre-registered participants receive everything
they need and only stop at the registration table to pick up their nametag.
All registration problems and questions are handled through our office.
| 4. The Sales Area |
 |
This takes quite a bit of set up time, and is best accomplished the day before
the seminar when the volunteers are not rushing around trying to beat the 9
a.m. rush. It will take about 2 volunteers to run this area during the seminar.
We provide you with pre-paid shipping labels to ship back any extra books. We
ask that you either set up the book tables in the training room, or in the same
room as the food.
| 5. The Food |
 |
This takes at least 3 people. We provide
you with a detailed shopping list and instructions, and we reimburse all receipts
the day of the seminar (within our budget agreement). We usually suggest something
like doughnuts and coffee for the morning break, and cookies for the afternoon snack.
| 6. Event Promotion |
 |
Along with our own marketing efforts, we ask that you, as host, help promote
the event in your area. We provide you with flyers and brochures to pass on
to your friends and colleagues in youth ministry.
. . . . .
Although we realize that we could never totally compensate you for the amount of work you and your volunteer staff contribute to this day, as a thank you for your tremendous effort we offer you your choice of $150 cash, $200 in YS resources or a free convention registration.
After reading this description of the hosting responsibilities, if you are
still interested in becoming a partner in this ministry of bringing youth workers
together in your community, please fill out and submit the online Host
Application.
Once again, thank you for your interest in hosting our event and for supporting
our continued ministry to youth workers.
